Terms of Service

Acceptance

By creating a Cliniq account or using any part of our service, you agree to these Terms of Service. If you are accepting on behalf of a clinic or organisation, you represent that you have authority to bind that entity to these terms.

About Cliniq

Cliniq is a cloud-based appointment management platform designed for independent medical practitioners, solo clinics, and small multi-doctor practices. The service includes online booking, patient record management, automated reminders, deposit collection, and practice analytics.

Cliniq is a practice management tool. It is not an electronic health record (EHR) system, a telehealth platform, or a clinical decision support tool, and should not be used as a substitute for regulated medical software where such regulation applies.

Subscription Plans

Cliniq offers three plans:

  • Free — up to 50 bookings/month, 1 location, core features. No payment required.
  • Pro ($49/month or $470/year) — unlimited bookings, up to 3 locations, SMS reminders, deposit collection, analytics.
  • Clinic ($149/month or $1,430/year) — everything in Pro, plus up to 5 doctor accounts, unlimited locations, API access, and a dedicated account manager.

All prices are in USD. Annual plans are billed upfront and save approximately 20% compared to monthly billing. Prices may change with 30 days' advance notice to existing subscribers.

Free Trial

New Pro and Clinic subscribers receive a 14-day full-feature free trial. No credit card is required to start a trial.

At the end of the trial period, your account automatically downgrades to the Free plan unless you choose to subscribe. We will never charge you without explicit consent and a valid payment method on file.

Billing & Payment

Paid subscriptions are billed in advance — monthly on your billing date, or annually on your renewal date. Payments are processed securely by Stripe. By providing payment details, you authorise Cliniq to charge the applicable fees on each billing cycle.

If a payment fails, we will retry up to three times over 7 days and notify you by email. Accounts with failed payments may be temporarily limited until payment is resolved.

Cancellation & Refunds

  • You may cancel your subscription at any time from your account settings.
  • Cancellation takes effect at the end of the current billing period — you retain access until then.
  • Monthly subscriptions: no refunds for the current period after cancellation.
  • Annual subscriptions: pro-rata refund available within 30 days of the annual renewal date if you have not used more than 2 months of the plan.
  • Free plan accounts may be deleted after 12 months of inactivity.

Acceptable Use

You agree not to use Cliniq to:

  • Impersonate a medical practitioner or provide false credentials
  • Store data unrelated to your legitimate practice management needs
  • Attempt to access other users' accounts or data
  • Send unsolicited or deceptive messages to patients via our reminder system
  • Reverse-engineer, scrape, or attempt to extract our software or underlying data
  • Use the service in any way that violates applicable law or medical regulations

Data Ownership & Portability

You retain full ownership of all practice data, patient records, and content you create in Cliniq. We process this data solely to deliver the service to you. You may export your data at any time, and upon account deletion all data is permanently purged within 30 days. See our Privacy Policy for full details.

Service Availability

Cliniq targets 99.9% monthly uptime, excluding scheduled maintenance windows announced at least 48 hours in advance. We will notify you by email of any significant outage. In the event of extended downtime attributable to us, Pro and Clinic subscribers may request a pro-rata service credit.

Intellectual Property

The Cliniq platform, branding, and all software are owned by Flexpart Vanta INC. You are granted a limited, non-exclusive, non-transferable licence to use the service during your subscription. You may not copy, modify, or distribute any part of the software.

Limitation of Liability

Cliniq's liability for any claim arising from your use of the service is limited to the fees you paid in the three months preceding the claim. We are not liable for indirect, incidental, consequential, or punitive damages, or for any loss of revenue, patients, or data not caused by our gross negligence.

Changes to These Terms

We may update these terms from time to time. For material changes, we will notify you by email at least 30 days before they take effect. Continued use of Cliniq after that date constitutes acceptance of the revised terms.

Governing Law

These terms are governed by the laws of the State of California, USA. Any disputes will first be addressed through good-faith negotiation, followed by binding arbitration under JAMS rules if unresolved.
